How to Create a Schedule in Google Sheets

How to Create a Schedule in Google Sheets
Although it is possible to create a schedule from scratch in Google Sheets, we recommend using a template, particularly if you’re in a hurry and don’t require extensive customization.
The template gallery in Google Sheets can be used to locate a prebuilt sheet. To begin, you must create an account on Google Sheets. If you have an existing Google account, you can use it to log in. Here are the steps required to create a schedule using the Google Sheets template gallery:
- Navigate to the main Google Sheets page.
- Select Template gallery beneath the search bar. This will load a new page containing a selection of available templates.
- For this tutorial, we will use the Schedule template, so click on that one. This will launch a new spreadsheet with the specified template already applied.
The rows and columns of the Google Sheets template are already configured to accommodate hourly divisions throughout the day. You can specify the week’s first day in cell C2. The date is automatically specified in the third row based on the input in cell C2. A formula in the fourth row automatically converts the date to the day of the week.
There is a notes box at the bottom of the schedule where you can leave messages for the team. On the right, there is a to-do section where you can allocate particular tasks to your team.
Using Conditional Formatting in Your Schedule
You can utilize conditional formatting in the spreadsheet to search for a particular word. If the specified condition is met, a particular action will be taken.
Let’s add conditional formatting to determine if the word “meeting” exists in the cell for demonstration purposes. If so, the cell should become red. Here are the steps you must take to accomplish this:
- Select the area in your spreadsheet where you want to apply conditional formatting.
- Click on Format in the main toolbar of the screen.
- There, click on Conditional formatting. This will open a sidebar on the right side of the screen.
- If selected in the first step, the range will be added automatically. Unless you already did so, enter the range in the Apply to range textbox.
- In the Format cells if section, the formatting rules can be selected. We selected the Text contains option and entered “meeting” as the keyword.
- Now select the effects to be applied to the cell’s contents. In this instance, we decided to apply the color red to the cell.
- Click on Done to save the changes.
Evidently, the effect is added to each cell containing the specified keyword. This is especially useful if you wish to color-code upcoming tasks such as meetings and deadlines. Additionally, you can add numerous rules, allowing you to create a fully color-coded schedule.
This eliminates the need to manually color code each cell everytime your timetable is modified.
